What we do with your data

Briefly and concretely: we collect only what is needed to answer your enquiry.

Who the controller is

The controller of your personal data is FHU Sabo Bogdan Szamburski, operating Stara Szwajcaria at ul. Łabędzka 6 in Gliwice, Poland.

What data we collect

Only what you enter yourself in the forms: your name, e-mail address, optionally a phone number and your message. Depending on the form also: the occasion, the date and the number of guests (date enquiry), the company name, the number of attendees, the duration and needs such as equipment, a coffee break or rooms (company enquiry), the arrival date and the number of people (room enquiry), or the number of places (event booking). With each form we record the page it was sent from and the language of the page.

There are no user accounts, no comments and no basket. The availability calendar is a public file of dates and hall statuses, with no personal data in it. Your browser fetches it from Google Cloud Storage, so Google sees the visitor's IP address, as any server a page fetches a file from does.

Why, and on what legal basis

Form data is processed in order to answer your enquiry and settle the details of a possible event. The basis is Article 6(1)(b) GDPR, steps taken at your request before entering into a contract, and for correspondence and abuse prevention Article 6(1)(f), our legitimate interest.

Technical connection data (server logs) is processed under Article 6(1)(f) GDPR to keep the site secure and working.

We do not use analytics or advertising tools at the moment. If that changes, we will ask for your consent before switching them on and update this policy.

Who we share data with

Room enquiries also go to the reception of Restauracja Park Szwajcaria (pokoje@restauracjaparkszwajcaria.pl), run by the same controller. Automatic confirmations are sent from formularz@restauracjaparkszwajcaria.pl.

Links to our offers in PDF lead to Google Drive. Once you open one, Google processes your data under its own terms.

The providers we use may process data outside the European Economic Area only on the basis of standard contractual clauses or a European Commission adequacy decision.

We do not sell data and we do not pass it to anyone for third-party marketing.

  • Cognitra Eryk Czekalski (ul. Górnych Wałów 23B lok. 29, 44-100 Gliwice, Poland, VAT ID 7343485526), the supplier of this site and of the form handling system (n8n on Cognitra's server, which also records the technical run of every submission), as a processor acting on our instructions.
  • Brevo (Sendinblue SAS, France), the mail service through which notifications and confirmations are sent.
  • Google Cloud (Google Ireland Ltd), where the site is hosted in a European region and where the server logs are kept.

How long we keep it

Correspondence about an enquiry is kept for as long as handling it requires, and then for the limitation period of any claims. If an enquiry does not lead to a booking we delete it within a year at the latest. Data relating to a concluded contract is kept for as long as tax and accounting law requires.

Cookies and server logs

This site sets no cookies. In your browser's storage (localStorage) we keep only the language you chose, so the right version opens on your next visit. It serves only your own choice and needs no consent; you can remove it by clearing site data in your browser.

We do not embed maps or players from third-party services, so no such service stores anything in your browser without an action by you.

The server running the site keeps technical connection data in its logs: the IP address, date and time, the page requested and the browser type. The logs are deleted automatically after 30 days.

Your rights

  • Access to your data and a copy of it.
  • Rectification of data that is inaccurate or incomplete.
  • Erasure, where we no longer have grounds to process it.
  • Restriction of processing.
  • Objection to processing based on legitimate interest.
  • Data portability.
  • A complaint to the President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warsaw, Poland.

Providing data is voluntary, but without an e-mail address or a phone number we cannot answer your enquiry.
